7 Aircon Checks at Office Fit-Out Handover

Do not accept an office aircon fit-out on appearance alone. Before occupation, verify airflow, controls, drainage, access, zoning, operation under intended load and the records needed to trace later faults.

Which seven aircon checks belong in the handover?

The handover should cover seven checks. Verify the airflow, controls, drainage, service access, zone map, operation under planned use and the final records.

This is an operational acceptance checklist. It is not presented as a statutory Singapore handover form, and it does not replace the building contract, consultant scope or authority approvals that apply to the premises.

How should each check be witnessed before occupation?

Witness the outcome that staff and facilities teams will rely on. A neat ceiling and a controller light do not establish that air reaches the room or water leaves the unit.

1. Confirm supply and return paths after partitions

Compare the completed room layout with the supply grilles and return paths. Doors, display walls and full-height partitions can separate a room from the airflow assumed in the original design.

2. Test every controller against the intended zone

Operate each controller and record which unit, damper or zone responds. Confirm schedules, setpoints and any central override against the agreed operating plan.

A controller response proves communication at that moment. It does not prove sensor accuracy or long-term control stability.

A warm meeting room after a fit-out case shows why the zone map matters more than the controller. The room had walls added late and kept the control zone it had when the floor was open, so its unit obeyed a sensor in another space and never measured the room itself. Confirm every enclosed room is controlled by a sensor inside it before occupation.

3. Run drainage under a meaningful water load

Cassette and concealed units may rely on pumps and float switches. Witness pump operation, tray clearing and the visible outlet where available.

A pump float stuck case shows that a pump can run on command yet fail to start automatically. The handover check should distinguish pump response from automatic water-level control.

Service work adds its own drainage risks. A tray flush requires the outlet joint to come apart, and a joint pushed back without being tightened can hold its shape briefly and then drip onto the ceiling below. A relocation can kink a flexible drain hose so the bore closes and water backs up slowly. Where the works opened a drain, witness the joint and the full run before sign-off.

4. Keep service points accessible

Confirm that filters, drain pumps, control boards, valves and dampers can be reached after all ceiling panels, cabinets and signage are installed. Mark access panels on the final drawing.

A neglected ceiling filter case shows how a hidden return filter can escape routine servicing. It supports visible access and labelling, not a promise that every future fault will be easy to reach.

5. Match zone labels to actual damper movement

A control screen can show a zone opening while the mechanical linkage remains closed or moves the wrong branch. Observe airflow response and accessible damper movement where the commissioning scope allows.

A damper actuator slipped on shaft case shows why motor movement alone is incomplete evidence. The test must confirm that movement reaches the blade.

Relocation adds a failure that no label check catches: dampers are commonly closed while work is in progress and reopened as a separate step at the end. One office zone stayed warm because that step was missed, with nothing on the controls to show it. Keep a written list of every damper closed during the works and confirm each is open at handover.

6. Observe the system under intended use

Run the planned occupied zones with normal lighting and major equipment represented where practical. Note rooms with strong afternoon exposure or operating hours that differ from the rest of the office.

A condenser heat trapped case appeared under afternoon office load. It shows why an empty morning test cannot establish every operating condition.

Test at the speeds and loads the office will actually use. A duct clamp left slightly loose stays silent at low flow and whistles once demand rises, so a quiet low-speed test proves less than it appears to.

7. Collect a usable commissioning record

Keep final model details, zone names, controller mapping, settings, observed test results, unresolved defects and the party responsible for each follow-up. Store the final drawings with the handover record.

A clear record helps the facilities team run the system. A contract or approval may require a set format. Otherwise, it is not a universal certificate from an authority.

Which handover points come from regulation and which come from the project?

EMA says electrical wiring work at home or in an office must be carried out or supervised by a Licensed Electrical Worker. Some non-domestic electrical installations also require licensing based on their approved load or use; the appointed LEW should confirm the position.

BCA requires a trained installer for units fixed outside a building. Airflow checks, zone labels, access drawings and a commissioning schedule are usually project requirements. They do not come from one universal statutory checklist.

What does handover testing not prove?

The test cannot promise comfort for every future way the office may be used. It also cannot prove the state of hidden work that was not checked. It does not replace any required electrical check or authority approval.

Record the conditions of each test and every unresolved item. A later complaint can then be compared with a defined baseline rather than a general statement that the system worked at handover.

  • Do not accept controller response as proof of room airflow.
  • Do not close inaccessible ceiling work without recording the service points.
  • Do not mark a defect complete until the affected zone is retested under the condition that exposed it.
