6 Situations Where an Aircon Quote Needs a Site Survey
An aircon quote needs a site survey when a photo or floor plan cannot establish placement, routing, access, electrical supply, drainage or actual load. The survey should close those unknowns before the scope is priced.

When is a remote aircon quote not enough?
A remote quote is not enough when six physical facts remain unclear: outdoor placement, pipe route, service access, drainage, electrical supply or the load when rooms operate together.
A site survey is good practice for setting the scope. It is not a universal legal requirement for every quote. Legal duties may still apply to specific installation, structural or electrical work.

What should the survey establish in each situation?
The survey should name the unknown and record how it was resolved. A visit that only repeats the room count does not improve the quote.
1. Outdoor placement has a real physical constraint
A narrow ledge, service recess or screened area needs direct assessment of equipment fit, airflow and safe access. Model dimensions alone do not show the surrounding heat path.
A narrow ledge condenser overheat case supports checking clearance under actual layout constraints. It does not set the installation clearance for another model.
2. Existing pipework is concealed or proposed for reuse
A quote that reuses hidden pipework should state what can be inspected and what remains uncertain. Concealed routes may contain joints, corrosion or sections that cannot be verified from the room.
A pinhole leak behind wall case shows why a visible end check cannot clear the full route. It does not mean every concealed pipe must be replaced.
3. Service access depends on carpentry or ceiling openings
Built-in cabinets, fixed grilles and ceiling panels can block filters, drain pumps, valves or electrical panels. The survey should identify which finishes must remain removable.
Access planning is not a promise that no future opening work will be needed. It reduces avoidable obstruction around known service points.
4. Drainage needs a route, fall or pump decision
The drain outlet and full route should be understood before a position is fixed. Long horizontal runs, obstacles and ceiling routes can change whether gravity drainage is credible.
A drain pipe backfall case shows how retrofit routing can reverse the intended fall. It supports route inspection, not a remote conclusion that a pump is required.
5. The electrical point or approved load is unclear
For an HDB flat, check the current HDB aircon and electrical-work guidelines against the block and proposed work. If wiring, a power point or an isolator changes, the responsible Licensed Electrical Worker should define that scope.
EMA says electrical wiring work must be carried out or supervised by a Licensed Electrical Worker. A salesperson's room survey is not an electrical certification.
6. The design depends on simultaneous room use
Sizing should reflect which rooms run together, solar exposure, room use and equipment load. A bedroom-only assumption cannot price a system intended to cool a glass office or several rooms at once.
One undersized outdoor unit case shows why model capacity and actual use both matter. It does not give a capacity calculation for another home.
Which survey points are compliance checks and which are quote practice?
BCA requires trained installers for units installed outside or projecting from a building. EMA requires licensed-worker involvement for electrical wiring work. HDB publishes conditions for aircon installation and electrical loading in its flats.
A pre-quote site survey, route photographs and a written access plan are good commercial practice. They are not described by those authorities as a mandatory format for every aircon quote.

What can a site survey still leave uncertain?
A non-invasive survey cannot prove the inside of concealed pipes, walls or live equipment. It also cannot guarantee future performance before the system is installed and commissioned.
The quote should name exclusions, provisional items and the event that would change scope. Hidden-condition risk should remain visible rather than being converted into a confident fixed assumption.
- Do not treat a floor plan as proof of an unobstructed route.
- Do not treat an on-site salesperson as the certifier for electrical or structural work.
- Ask which observed site fact changed the final quote.
